A Workers Compensation Claim can be a TEAM Building Experience

Sometimes a workers compensation claim can evoke a mixture of feelings from the staffing company owner. First of course as a human being, you feel sympathy for the injured worker and want to do everything possible to see the worker gets the right medical care. Alternatively, as a business owner, as much as you are concerned about the injured employee, you may also be concerned about what effect on your Comp rates a particular injury will have.

Here are a couple steps you can take that will both help the injured employee AND help you keep your rates low.

  1. Report the claim as soon as possible to the carrier. The sooner the claim is acted upon by the carrier, the better chance you and the employee will receive better service from the carrier.
  2. Make sure your First Injury Report and any other paper work is complete. Incomplete paperwork results in delayed medical attention, which can mean higher medical costs and increased tension with the employee.
  3. Get the injured worker involved in their rehabilitation, including back to work programs as soon as possible.
  4. Discuss with your Safety Manager and employee what happened with each accident and what steps could have been taken to have prevented the accident in a non adversarial way. Involving the injured employee in this positive and constructive discussion will make them feel part of the solution, and help them want to get back to working on your team.

Written Job Descriptions Can Keep Your Comp Rates Low

— Here’s why…

As a former staffing owner who has done his fair share of staffing “ASAP” positions, I understand the pressure that staffing managers have in matching the skill sets of the right applicant to the job, and getting the applicant to the job site site in a timely manner. Sometimes though, the Staffing Manager may assume that since the applicant has the necessary skills to do the job, they understand the safety elements of the specific job that the client wants done. Getting an applicant to understand the safest way of performing a job is essential to keeping your Work Comp rates low.

A written job description is a critical part of communicating safety policies of the job from the Staffing Manager to the applicant/temporary employee. Understandably, sometimes there is only time to describe the job site and the very basic responsibilities of the job to he applicant. Though a written job description (with a description of the site) is always the best way to both get peak performance from the applicant and minimize injuries that may cause your Comp rate to increase.

Local Clinics Can Make or Break Your Workers Compensation Budget

Local medical clinics are a great way to keep your workers compensation costs low.  Smart staffing company owners have relationships with these clinics around their market, so that when a minor accident occurs, the employee can be sent to the clinic for treatment. The alternative to these clinics is to send the employee to a hospital emergency room where costs can be  many times greater for the same minor medical procedure to help the employee.

Most states allow the employer to direct the employee to the medical facility of their choosing when a minor accident occurs. You should check with your work comp insurance agent or  broker for the specific laws in your State.  Medical clinics in general have emerged as a very cost effective alternative to emergency room treatment. In fact the recent  “US Affordable Care Act” promotes the use of these clinics over emergency rooms as a way to “bend the cost curve” of medical costs.

Using Deductibles as a Tool for Lowering Your Work Comp Rates

When was the last time you computed what your work comp premiums would be if you paid 20% less in rates, but had a $500 deductible? Or a $1000 deductible and paid 30% less in rates? Or even a $10,000 deductible and a 70% reduction in rates? If you are like most staffing company owners, it may have been some time since you did these calculations.

If it has been while, you may want to sharpen your pencil again. Insurer’s underwriters are really looking favorably these days at staffing companies that are willing to have some “skin in the game” vis a vis using a Work Comp Program with a deductible. Specifically, insurers will often reduce your rates when they see that you are willing to manage a deductible policy. Some staffing owners want a “guaranteed” program where their is no deductible. But the insurer will usually charge a premium for these polices, since they assume that they do not have a “partner” as a policy holder helping them manage and reduce claims.

So as you begin to look at your renewals for 2012, it can be well worth a few hours of your time to see what your Work Comp premium would have been if your rates were lower, as a result of having a deductible in your policy.

Please call us at 202-302-1212 for a FREE quote, that can include various deductible options.

First Injury Reports – The First Place to Start When Trying to Lower Your Rates

First Injury reports are a very important document that memorializes each workers compensation accident. Some staffing companies, at their own peril, do not provide a First Injury Report if they feel that the accident was “too small” to make a big deal about. Also some staffing companies feel that if the insurance company knows about each little accident, their rates will increase.

While it is true that insurance companies do include the number of accidents in the formula for computing rate increases and decreases, First Injury Reports also puts the employee on notice that the insurance company is going to start their investigation of the particular accident immediately. When the employee knows you report ALL accidents, this discourages them from trying to involve lawyers in the claims process; which will inevitably increase the cost of the claim related to that particular accident.

Also, by demonstrating to all employees that First Injury Reports are created for all accidents, you will reduce the amount of fraud that may be attributed to your workers compensation account.
